School Management Systems

A school management system in Cameroon has to cope with things imported software rarely understands: Anglophone and Francophone sections in the same school, fees paid in several instalments, report cards built from sequences and terms, and parents who pay by Mobile Money from another town. Opesware’s School Management System is built around those realities, for nursery and primary schools, secondary schools and colleges, and higher institutions.

In practice, the bursar records fee instalments and sees at once who is up to date; teachers enter marks per sequence and the averages, ranks and report cards are calculated for them; the discipline master logs absences and incidents; and the principal sees enrolment, collections and results by class without waiting for paper summaries.

School fees are where most schools lose time and money. Fees can be split into instalments with due dates, with different amounts per class, section or boarding status, plus PTA levies and other charges. Parents can pay by MTN MoMo or Orange Money, and each payment is matched to the right student instead of being reconciled from screenshots. Receipts are issued in FCFA, and the bursar can print or send a list of outstanding balances before each deadline.

Parents and guardians can follow attendance, marks and balances, which shortens the queue at the bursary on resumption days and reduces calls to the secretariat.

Behind the report cards sits the everyday administration of a school. Student files keep admission details, parents’ contacts, medical notes and transfer history, so a new principal or secretary does not start from a cupboard of folders. Staff records hold contracts, subjects taught and timetables, and the timetable itself can be built around teachers who work in several schools, which is common in Cameroonian private education. Absences, late arrivals and disciplinary decisions are recorded once and appear on the report card and in the parent’s view.

For a proprietor or education secretary who runs several schools or campuses, the same data rolls up into one picture: enrolment per school, fees collected against fees expected, and results per class and subject. That makes it easier to decide where to recruit, where to follow up unpaid fees and which classes need support before the official examinations.
