OPES CDMS

Clinical Document Management System

Request a demonstration

Every hospital moving to electronic records faces the same obstacle: decades of paper files, plus a continuing stream of consent forms, external results and referral letters that arrive on paper and belong in the record.

OPES CDMS is the bridge. It captures paper into the patient record, indexed and searchable, so the electronic record is complete rather than a partial view alongside a filing room nobody can abandon.

What OPES CDMS does

Scanning and capture

Batch scanning with indexing to the patient and document type, so a scanned page is findable rather than merely stored.

Document classification

Consent forms, referral letters, external results and legal documents classified consistently across the hospital.

Search and retrieval

Documents found by patient, type or date in seconds rather than by a trip to the records department.

Consent and legal documents

Signed consent held against the episode it relates to, retrievable when it is actually needed.

Version and retention control

Document versions tracked and retention periods applied in line with your records policy.

Access control and audit

The same access rules and audit logging as the rest of the clinical record — a scanned document is still patient data.

Who it is for

Hospitals digitising legacy records, facilities receiving external documents on paper, and any service with legal document retention obligations.

Common questions

Do we have to scan all our historic files before going live?

No, and we would advise against it. Most hospitals scan on demand — a file is captured when that patient next attends — which spreads the work and prioritises the records actually being used.

Can documents be captured from a phone?

Yes. Where a scanner is not practical, capture from a mobile device is supported, with the same indexing and access control.

How are scanned documents found later?

By patient, document type and date, with the document attached to the episode it belongs to rather than to a general pile per patient.

Does it satisfy record retention requirements?

Retention periods are configurable per document type, with the audit trail needed to demonstrate compliance with your records policy.

Connected to the rest of the ecosystem

Every OPES system shares one patient identity through OPESCare, so a patient moving between departments or facilities keeps one record rather than accumulating several.
