Booking and availability

Which vehicle is free, on hire, in the workshop or reserved, on one calendar. Overlapping hires become impossible to create.

Rental contracts and deposits

Contract, driving licence capture, deposit, excess and agreed return date, generated and signed at handover.

Condition capture

Photographed walk-around at handover and return, timestamped. Damage disputes are settled with evidence rather than argument.

Fuel and cost per kilometre

Fuel, tyres, servicing and repairs tracked per vehicle, producing a true cost per kilometre instead of a fleet-wide average.

GPS and utilisation

Optional tracker integration for position, trip history and idle time, so an underused vehicle is identified rather than assumed.

Preventive maintenance

Service scheduled by mileage or date, with the vehicle blocked from hire once it is overdue rather than after it breaks down.

Vehicle registered

Registration, purchase cost, insurance and technical visit dates, service intervals and assigned driver recorded once.

A customer reserves a vehicle, or a corporate driver is assigned one. Availability updates instantly across the fleet.

Handover

Contract signed, deposit taken, fuel level and mileage recorded, and the condition walk-around photographed.

In use

Fuel, tolls and incidents are logged against the vehicle and the driver. GPS, where fitted, records trips and idle time.

Return and settlement

Mileage, fuel and condition are compared to handover. Charges are applied, the deposit is released, and the next service is scheduled.

Common questions

Does it work with GPS trackers?

Yes. We integrate with the common tracker brands sold locally, so position, trip history and idle time appear alongside cost and maintenance data rather than in a separate portal.

Can it stop a vehicle being hired out when its papers have expired?

Yes. Insurance, technical visit and licence expiry dates block a vehicle from hire or assignment automatically, which is cheaper than a roadside fine.

How are fuel claims controlled?

Fuel is recorded against vehicle and mileage, producing consumption per hundred kilometres per vehicle. A claim that does not fit the vehicle's own history stands out immediately.

Can drivers submit trip details from a phone?

Yes. Drivers log trips, fuel and incidents from a phone, with photographs where needed, so the fleet office is not re-keying paper dockets a week later.
